Our Services are intended only for businesses in the HVAC and related service industries. By using our platform, you confirm that you are acting on behalf of a business and are authorized to enter into binding agreements.
We do not provide services to individual consumers or persons under 18 years of age.

HVAC.Ai offers AI-powered receptionist and chatbot automation tools designed to help HVAC companies manage customer inquiries, scheduling, and marketing.
We continuously improve our AI models to enhance service performance and accuracy.
3. Accounts and Access
To use certain features, you may need to create an account.
You are responsible for:
Providing accurate business information,
Keeping login credentials secure, and
Ensuring all use of your account complies with these Terms.
We reserve the right to suspend or terminate accounts that violate these Terms or misuse the Service.
4. Subscription Plans, Payments, and Refunds
4.1 Payment Processing
All payments are processed securely through Stripe. You authorize us to charge your provided payment method for any subscription, renewal, or one-time purchase.
4.2 Subscription Terms
Our Services are billed monthly on a recurring basis unless canceled before the next billing cycle. Pricing and plan details are listed on our website and may change with prior notice.
4.3 Free Trials
Free trials may be offered for limited periods. After a trial ends, billing automatically begins unless canceled before renewal.
4.4 No Refund Policy
All fees are non-refundable once charged, including partial months, setup fees, or unused time. Free trials are provided so clients may evaluate the Service before committing.
5. Use of AI Systems
Our AI chatbots and receptionist tools may:
Interact with your customers via chat or voice,
Record and store conversation data to improve accuracy, and
Use aggregated or anonymized data to enhance system learning.
Data and privacy are governed by our Privacy Policy, which is incorporated into these Terms by reference.
You agree not to use the AI system to:
Collect sensitive personal data from end-users,
Violate privacy laws, or
Deploy the Service in a deceptive or unlawful manner.
6. Intellectual Property
All content, code, software, and trademarks on HVAC.Ai are owned or licensed by HVACIQ Inc.
You may use our Services only as permitted — you may not:
Copy, modify, or distribute our software or AI outputs,
Reverse-engineer or decompile our systems, or
Use the Services to build a competing product.
7. Limitation of Liability
To the maximum extent permitted by law:
We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service.
Our total liability in any claim will not exceed the total amount paid by you in the three (3) months preceding the claim.
The Services are provided “as is” and “as available”, without warranties of any kind.
AI responses may occasionally contain inaccuracies. You acknowledge that AI output is informational and should not replace professional advice or human review.
8. Data Security and Retention
We use encryption and secure servers to protect your data.
Your business data and customer conversations are retained as long as your account remains active or as required for legal and billing compliance.
Some processing may occur internationally via trusted providers such as OpenAI and GoHighLevel, under strict data-protection standards.
9. Account Termination
You may terminate your account at any time by contacting [email protected].
We may suspend or terminate accounts for:
Violations of these Terms,
Misuse of AI tools or abuse of our systems, or
Non-payment.
Upon termination, your access will end immediately. Certain data may remain archived for compliance or record-keeping purposes.
10. Compliance and Legal Use
You agree to use the Services only in compliance with applicable laws and regulations, including privacy and marketing laws in your jurisdiction.
You are responsible for ensuring your own customers’ data is collected and used lawfully when deploying our AI chat systems.
11. Modifications
We may modify or update these Terms from time to time.
Changes take effect when posted on this page with a new “Last Updated” date. Continued use after changes means you accept the revised Terms.
12. Governing Law
These Terms are governed by the laws of the State of California, United States, without regard to conflict-of-law principles.
Any dispute arising under these Terms will be resolved in the state or federal courts located in San Francisco, California.
